AUUG Inc and the Australian Privacy Act

The Commonwealth Government has passed the Privacy Amendment (Private Sector) Act 2000 (Cth), which amends the Privacy Act 1988(Cth). As an Australian User Group, our policy for your privacy is based upon the Australian National Privacy Principles. When you contact AUUG Inc, provide information to AUUG Inc or view our website http://www.auug.org.au/, we will protect your privacy and help you maintain control over your data that you have provided to AUUG Inc.

How we collect your personal information:

When you fill out paper or electronic forms and submit them to AUUG Inc. via post, fax, email or World Wide Web, you providing contact information such as your name, address, phone number and email address to AUUG Inc. This enables AUUG to provide various member services to you, a detailed below.

How we use your personal information:

In the case of information provided when joining AUUG, we use this information to send you a renewal notice and receipt, to send you AUUG (the AUUG Newsletter), to send you information about AUUG events and activities, to send you information pertaining to related organisations, to inform you of member benefits and special offers made to AUUG members, and to identify you as a current member.

In the case of registration forms for AUUG events, we use the information to issue a receipt for payment, to inform you of future AUUG events and activities, and to identify you as someone authorised to attend the event.

In the case of mailing list subscriptions, we use this information to email you the postings to the mailing list you subscribe to.

Consent:

When you seek services from AUUG Inc. by taking out a membership, applying to attend an event or subscribing to a mailing list, it is AUUG's understanding that you consent to your personal information being collected, stored, used and disclosed for the purpose of providing services as stated above.

Use and disclosure:

AUUG Inc. will use and disclose your personal information only for the purpose that the information was provided to AUUG in the first place, i.e. to provide member benefits, event registration, or mailing list emails.

Data quality:

AUUG Inc will endeavour to collect and use information that is accurate, complete, up to date, and relevant to the functions performed. The quality of data will be confirmed on member renewal and whenever else it is practical to do so.

Data security:

AUUG Inc will take all reasonable steps to protect your information from mis-use, loss, unauthorised access, modification or disclosure.

Openness:

This AUUG Inc. privacy policy expresses AUUG's policies on management of personal information. This is available publicly through the AUUG web site or by request from the AUUG Business Manager.

Access and correction:

As a member or visitor, you have the right to seek access to your information held by AUUG Inc. and provide corrections to that personal information. This will be provided in a reasonable time frame. Note: There are limited circumstances / exceptions where this may be refused. For more information, please contact busmgr@auug.org.au. Cross Entity Data flows:

As an Australian Incorporated body, there are no other AUUG Inc. entities that have direct access to the database that AUUG Inc. operates upon. Thus, the information will not be shared beyond the parent entity. From time-to-time contact details are provided to like bodies via an independent indirect third party for the distribution of information e.g. mailing houses are used to send mail out to our members on behalf of other organisations, email addresses will only be used internally by our own staff/volunteers and procedures.
